Position Summary

The Accounting Clerk plays a key role in maintaining Explore Inc.’s financial accuracy and administrative efficiency. This position is responsible for day-to-day accounting operations including accounts payable, accounts receivable, month-end support, and various administrative functions within the corporate office. The role requires strong attention to detail, accuracy, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities

Accounting & Finance

Accounts Payable (AP)

  • Review and enter vendor invoices in Xero with appropriate approvals with project or cost center coding.
  • Reconcile vendor statements monthly and follow up on discrepancies or missing invoices.
  • Manage vendor accounts, including setting up new vendors, maintaining current contact information, and responding to vendor inquiries.
  • Maintain accurate and organized AP records to support audit and year-end review.

Accounts Receivable (AR)

  • Generate and issue client invoices based on invoicing requirements, project manager billing sheets, contracts, or time reports.
  • Upload invoices and backup documentation to client portals including OpenInvoice, Pandell, and Cortex.
  • Track payment status and follow up on outstanding balances in coordination with project leads.
  • Record client payments, deposits, and adjustments accurately in Xero.
  • Maintain an updated AR aging report and communicate collection priorities to management.

Month-End and Reporting Support

  • Assist with month-end reporting including journal entries and reconciliations (AP, AR, prepaid expenses, etc.).
  • Support preparation of financial summaries and management reporting (project billing, AR aging, etc.).
  • Ensure accuracy of accounting data and consistent use of chart-of-account codes across projects.

Expense and Credit Card Management

  • Collect and verify employee expense reports and corporate credit card receipts through Xero Me and ensure adherence to company policy.
  • Track missing receipts and follow up with employees to resolve before month-end close.

Administrative & Compliance Support

  • Maintain and update the company’s vehicle fleet expenses, using Fleet cards.
  • Track insurance documentation and client Certificates of Insurance (COIs), ensuring all renewals are current.
  • Support procurement by tracking purchase orders, vendor setup, and vendor compliance.
  • Coordinate office supply orders, courier deliveries, and general office maintenance requests.
  • Maintain organized digital and hardcopy financial records for audit readiness.

Collaboration & Communication

  • Work closely with Project Managers to verify project billing details, cost coding, and contract requirements.
  • Participate in team meetings and provide updates on billing, collections, and vendor matters.
  • Recommend process improvements to enhance accounting efficiency, accuracy, and internal controls.

Qualifications & Experience

  • Minimum 2 years of accounting or administrative experience (construction, energy, or professional services industry preferred).
  • Post-secondary education or certificate in Accounting, Business, or Finance (asset).
  • Proficiency with Xero, OpenInvoice, Pandell, and Cortex (asset).
  • Strong understanding of basic accounting principles and reconciliations.
  • Exceptional attention to detail and accuracy in data entry.
  • Strong time management and organizational skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently while contributing effectively to a team.
  • Commitment to confidentiality and compliance with company policies.
